Resource Finder
Use Resource Finder for Profile Pages |
Select to use Resource Finder participant profiles as the source for Collaborative Workspace member profiles accessible from the Members module. When a user clicks a member name link in the Members module, the member profile displayed will be based on the member's Resource Finder participant profile. For this option work as designed, you must have the following setup in place:
If you leave this option clear, when a user clicks a member name link in the Members module, the member profile that displays is based on information from the following tables: PSOPRDEFN, PSUSEREMAIL, EPPCW_MEMBERS, and PS_EPPRC_IM_USERVW. |
Workspace System Settings
Maximum Email Notifications |
Enter the maximum number of emails you want to be able to send in the member invitation notification process for a Collaborative Workspace. If the number of emails sent in the notification process exceeds this number, an error displays and no emails are sent by the system. |
Default Module Image |
Select the name of the image you want to display by default in the Collaborative Workspace menu to the left of a module name. If a module has its own image defined, this default image is overridden. |
Base Template Name |
This is the portal registry template on which all Collaborative Workspace templates and their portal registries are based. The default value for this field is set to EPPCW_BASE_TMPL. EPPCW_BASE_TMPL is a delivered portal template that contains content references for pagelets and registered components that represent the modules in Collaborative Workspaces. This portal template also defines the look-and-feel (header, footer, style sheet, menu iScript, and so forth) used by Collaborative Workspace templates and subsequently, Collaborative Workspace instances. The two Collaborative Workspace module tabs that display pagelets, Welcome and Related Data, have been created in this portal template registry and menu items pointing to them are included. |
Default Presence Indicators in Members Module |
Select to display instant messaging presence indicators in the Members module. If you decide to display presence indicators, keep in mind that one server trip is executed per indicator per member. See Setting Up Instant Messaging in PeopleSoft Enterprise Portal. |

When you assign participants to a Collaborative Workspace or Discussion Forum, you must assign the participant a privilege set. A privilege set is composed of base privilege definitions that define the actions a member can take in the feature.
In the Collaborative Workspace feature, privilege sets are assigned to members on the Administration - Members page.
In the Discussion Forum feature, accessed directly from the PeopleSoft Enterprise Portal menu or from within a Collaborative Workspace, privilege sets are assigned to forum participants on the Forum Privileges page.

Delete |
Click to delete the privilege set. This button is unavailable for privilege sets that are delivered by the system and are therefore unavailable for deletion. |
Access the Privileges page.
If you are defining a privilege set for a Collaborative Workspaces feature code, all privilege definitions with a Collaborative Workspaces privilege type are available for selection on this page. The Collaborative Workspace module to which the privilege is related displays alongside the privilege.
If you are defining a privilege set for a Discussion Forums feature code, all privilege definitions with a Discussion Forums privilege type are available for selection on this page.
When working with Documents privileges for the Collaborative Workspace feature code, it is important to note that the privileges available for selection on this page trigger more detailed privileges defined in the Content Management feature. We recommend that you use the default Document privilege settings defined on this page and make any necessary adjustments to the more detailed Content Management-based privileges based on the mapping described in the following table:

This section provides an overview of the Collaborative Workspace category hierarchy and discusses how to manage the Collaborative Workspace category hierarchy.
Use the Collaborative Workspace category hierarchy to organize Collaborative Workspaces. When you create Collaborative Workspace templates and instances, you can assign them a category you have defined using the Manage Categories component.
When you use the Manage Workspaces and Workspaces components, you can choose to search for, browse, and sort existing Collaborative Workspace templates and instances by category.

If you have selected the Use Resource Finder for Profile Pages option on the Installation Options page, when you access a member profile, instant messaging functionality will be available.

You must create Collaborative Workspace templates to create Collaborative Workspace instances. When creating a Collaborative Workspace instance, you select a Collaborative Workspace template on which to base the instance. These templates are the models according to which Collaborative Workspaces instances are built. For example, you can create Collaborative Workspace templates to be used to build Collaborative Workspaces for a particular user group, department, or transaction. You can create highly or minimally configured templates, depending on their usage.
A Collaborative Workspace template is a portal registry derived from the delivered Collaborative Workspace base portal template. Using the template administration pages documented in this section, you can define various aspects of this template registry, including security, contextual data, associated Collaborative Workspace modules, and related pagelets.

Members
Use the Members group box to manage the membership settings of the Collaborative Workspace template. These settings will be defaulted to the Collaborative Workspaces that are created using this template.
You can also use the Add Members page and the Administration - Members page used with Collaborative Workspace instances to manage the membership of a Collaborative Workspace built using this template.

Type |
Select the type of member you want to add to the Collaborative Workspace template. Users and roles that are available for selection are those who have access to the PAPP5300 permission list. Available values include: Role. Select to be able to select a role, or group of users, in the Member Name field. Available roles are defined in the Roles component. See Enterprise PeopleTools 8.46 PeopleBook: Security Administration, “Setting Up Roles” User. Select to be able to select a user in the Member Name field. You must select this value to be able to select a Privilege Set field value of Owner or Administrator. Available users are defined in the User Profiles component. Related Transactions
Use the Related Transactions group box to associate Collaborative Workspaces built using this template with specific transactions.
For example, if you create a template with a related transaction tied to a Customer Case transaction, when a user chooses to create a Collaborative Workspace by using the Workspaces page accessed directly from the Customer Case transaction, the template displays as the recommended template for use with the transaction.

Select to associate the template with a transaction that is not registered in the PeopleSoft database environment. When you select this value, the Node Name, URL, and Label fields display. Select the portal or subsite in which the internal transaction to which you want to tie this template resides. This field displays when the Type field is set to Registered. |

Enter one or more internal transactions to which you want to tie this template. This field displays when the Type field is set to Registered. Click the Select Transaction button to access the Select Transaction page, where you can select a transaction from a graphical representation of the portal registry. |
Node Name |
Select the node through which the external transaction to which you want to tie this template should be accessed. These nodes are defined content providers from which content can be retrieved and rendered. This field displays when the Type field is set to Not Registered. |
URL |
Enter the URL to the external transaction to which you want to tie this template. This field displays when the Type field is set to Not Registered. |
Label |
Enter the label that you want to display for an unregistered transaction. This field displays when the Type field is set to Not Registered. Label text you enter here displays in the following places. The text displays on the Relate Workspace to a Transaction page when the keys edit boxes are presented, and second, they show up in the workspace menu (below the module choices in the left-hand). |
Only for selected transactions |
Select if you want this template to be available for selection only when a user chooses to create Collaborative Workspaces from the related transactions you define on this page. When a user creates a Collaborative Workspace based on any other transaction, this template will not be available for selection. |
Related Keys
Use the Related Keys group box to specify key fields that you want associate with this template. When you build a Collaborative Workspace using this template and associate it with a transaction that contains these key fields, the Collaborative Workspace is able to display pagelets and links related to the key field values from the transaction.
Note. Modifying existing field values or options set in this group box initiates a function that updates all Collaborative Workspace pagelet content reference URLs that contain an attribute of EPPCW_PAGELET with a value of KEYS. This change impacts all Collaborative Workspace pagelets, as well as any related pagelets associated with the Collaborative Workspace in which the key was modified.
Display |
Select if you want the key field and its transactional value to display in a Collaborative Workspace created from this template using a transaction that contains the key field. Clear this option to hide certain keys and their values from Collaborative Workspace users. |
Key |
Enter the key field name that you want to associate with the Collaborative Workspace template. These keys and their values can be used to generate context-sensitive Related Pagelets and links that are specific to the Collaborative Workspace instance created from this template. |
Custom Label |
Enter an overriding value for the key label. If you choose to display the key, this label will appear alongside the key field value below the menu of a Collaborative Workspace created from this template for a transaction that contains the key. |
Allow key overrides |
Select if you want an administrator to be able to edit these keys in a Collaborative Workspace created using this template. |

Displays the portal or subsite you selected on the Administration - Contextual Data page, but can be overridden. Select the portal in which the transaction you want to associate the template resides. |

Select the pagelet you want to associate with this template. All pagelets in all portal registries within a database are available for selection as related pagelets in a Collaborative Workspace. |
Context-Sensitive |
Select to enable the pagelet to utilize contextual data supplied to Collaborative Workspaces created using this template. When you select this option for a pagelet, the keys and key values associated with the Collaborative Workspace are passed to the pagelet. For example, if you have a pagelet that displays stock information and a Company Overview Collaborative Workspace instance tied to a key of Stock Symbol (SYMBL), when the Collaborative Workspace is created and linked to a specific company with stock symbol “WXYZ,” for example, the context-sensitive related pagelet is passed the information “SYMBL=WXYZ.” This data is passed by way of the query string. |
Understanding Related Pagelet Content Reference Attributes
When a related pagelet is added to a Collaborative Workspace and is designated as being context-sensitive, the pagelet is passed the same key names and values that are associated with the Collaborative Workspace. These keys are passed to the pagelet as query string parameters. If needed, the key names can be overridden for a related pagelet by adding the EPPCW_KEYMAPPING attribute to the content reference representing the pagelet.
The pagelet's content reference can be accessed by clicking the Structure and Content link on the Administration - Advanced page. The syntax for the attribute value is as follows: KEY1ORIGNAME=KEY1NEWNAME; KEY2ORIGNAME=KEY2NEWNAME; … ; KEYNORIGNAME=KEYNNEWNAME.

We provide the following PeopleSoft Data Mover scripts to help you import and export your Collaborative Workspace template data.
portal_workspace_exp.dms
Use this export script to export all template data stored in EPPCW tables.
portal_workspace_imp.dms
Use this import script to import all template data.
Use these scripts in addition to a project that contains the managed portal registry object for the template to create templates in the PeopleSoft Enterprise Portal database. These scripts are located in your ps_home\scripts directory.
Note. Before executing the scripts, you must update them with the specific Collaborative Workspace template names you are importing
or exporting.
These scripts do not support the import and export of any associated attachments.
