Companies often have thousands of documents in various repositories, which can include items ranging from product information and white papers on a corporate web site, to policy documents and employee instructions on an intranet or file server.
PeopleSoft Enterprise Portal enables you to categorize data originating from many places. You can assemble content from file servers, web servers, and manual entries and place them in folders within hierarchies. Users then search these folder hierarchies to locate relevant documents. A single document can reside within multiple folders. For example, a press release can be categorized under a company news hierarchy as well as a hierarchy of departmental documents.
By granting access to the folders, you control which users, by role, can edit and view data. Each folder can have multiple sources.
Administrators can populate a hierarchy manually, but you can also import content in bulk. Using a utility that crawls through collections of documents to search file servers and web sites, you can automatically update your portal with the information that you consider pertinent, and retain the information where you deem necessary. You control the crawler, telling it what type of content to retrieve, where to look, and how much information to recall. Using PeopleSoft Process Scheduler to refresh folders, you can keep your information current by the day, or even hour.

Access the Folder Properties page.
Top Administrators are responsible for defining the top folder properties and the users who can access it.
Auto Generated Folder |
Indicates whether this folder was created manually or by the spider. |
Child Content Defaults
Child content created from this folder uses the default values specified here.
File Storage |
Select the storage locations for any content that are attached files. Available locations are based on those defined on the Define File Storage page. |
Date Type |
Choose either Relative Date or Absolute Date to define content default publish and expiration dates for this folder. |
Publish Date and Expire Date |
Select the publish and expiration dates for defaulted values of the content in this folder. |
Archive Date |
Select an archive date. This is the default value used for content created in this folder. Content with an archive date previous to the current date does not show in the content list on the Browse Content and My Content pages. However, the content is still accessible from the Maintain Content search page. Content that is archived and published elsewhere is still visible from where it is published. The publishing feature uses the expiration date to control when the content stops displaying. Choose from Current Date, Current Date + 1 Week, Current date + 30 Days, Current Date + 90 Days, Current Date + 365 Days, Current Date +999 days, or Never Archive. |
Access the Move Folder page by clicking the Move Folder button.
Use this page to move a folder to a different parent folder. The folder in bold represents the folder's current location. Only top administrators can move a folder to become a top folder by selecting the 0–Categorized Content location. Autogenerated folders cannot be moved.
Navigate the tree by clicking the folders. Select a new location from the available values. These values are based on your privileges. You must have the Delete Folder privilege in the current location, as well as Add Folder privileges on the new parent location to move a folder.
Access the Folder Security page.
This page lists:
Type, name, and privilege sets for the members of the folder.
Privileges specify the actions a member can perform upon the folder and the content contained in this folder.
Click Edit to edit this member's privileges. Click Delete to remove the member and prohibit them from accessing content from this folder. Click Add Member to go to the Set Members Privileges page to add a new member and assign privileges
Name and description for viewer roles.
The viewer roles determine the security for viewing the published categorized content within this folder from the Browse by Category page. The viewer roles also determine the search results of the categorized content when using the search box in the portal header. The viewer roles have no bearing on securing the folders within management of the Categorized Content feature.
Assigning Member Privileges
Access the Set Members Privileges page.
Member Type and Member Name |
Select a membership type of User or Role, then select the member. |
Privilege Set |
Assign privileges to this member by selecting privilege sets. |
The privilege sets and privileges listed for each set, reflect the privilege sets that were defined for the Categorized Content feature.
Information on this page is only required if you are going to use the categorization spider to automatically create folders and add content.

Using the Categorized Content navigation menu item Browse Folders, you can navigate through the hierarchy and manually add folders and content. You can also edit the attributes of manually-added folders and content.
Adding new content is discussed in detail in the Setting Up and Working With Managed Content chapter of this book. However, in addition to adding the content types discussed in that chapter, you can also add menu items and import managed content.

Click Start Discussions to begin a discussion topic. Click View Discussions if a discussion topic already exists and you want to view, edit, or enter a response to it. Note. Discussion topics stay with the content item. They cannot be accessed outside of the Content Properties page. |
Access the My Categorized Content Status page.
The My Categorized Content Status page enables you to see, at a glance, the work that you need to perform based on content status. Click the Content Item Status to go to the My Categorized Content page where you can preview the content items for the selected status, view their property details, or add new content.
Access the My Categorized Content page.
Use this page to easily locate and review content items of a particular status. If necessary you can enter additional search criteria to filter your results.
Selecting the Include Crawled Content check box will bring up all the autogenerated content that was generated by the current user if that user ran the categorization spider process. The amount of data can be quite large so use this filter with caution.
Click the content title to preview the item. Click the Properties link to view the property details.
