Creating Bill Only Requisition Using XML File Upload

PeopleSoft eProcurement supports the creation of bill only requisitions using XML file upload.

Follow these steps to set up XML file upload to create Bill Only requisitions:

  1. Use Requisition Loader Defaults page (Set Up Financials/Supply Chain > Product Related > Procurement Options > Purchasing > Requisition Loader Defaults > Overrides and Options) to define mapping keys for the Requesting Loader Business Unit.

    1. Click Add a New Value. On the Add a New Value page, select System Source as BO and select a Requesting Loader Bus Unit. Click Add.

    2. On the Overrides and Options tab, enter the unique XML Reference ID and XML Reference Value in the Mapping Keys section.

      In the Requisition Loader Options group box, enable Create Special Request If Item not Found checkbox to create special request if the specified item is unavailable while creating the requisition via XML upload.

  2. Use Inbound File Rule page (Enterprise Components > Integration Definitions > Inbound File Rule) to define XML file path and service operations for the File Identifier PURCHASE_REQLOAD_BO.

    1. Enter the XML file path in the Inbound File field.

    2. In the File Layout section enter the Definition Name PURCHASE_REQLOAD_BO and the Message Name PURCHASE_REQLOAD_BO.

To create Bill Only Requisition using XML file upload:

  1. Run the Inbound File Publish process for the File Identifier PURCHASE_REQLOAD_BO.

  2. Once the Inbound File Publish process is done, you can verify the number of lines processed on the Monitor Asynchronous Services page. On this page, select the number of services Done link to view the Result on the Operation Instances tab.

    Click Sub Queue Link corresponding to the transaction ID and then click Details link to view the details on the Asynchronous Details page.     If there is an error, click the Error link on the Asynchronous Details page to view the complete error details and fix the XML file. If the process is done successfully, the Action Status is Done and the request ID is created.

  3. Once the Request ID is created, the system source and Requisition Request ID are also loaded in the staging table on the Stage Requisitions page for reviewing and modifying any details.

    If there is any error in the source line, the status displays Error. Select the source line check box and click the View Errors link to review the list of errors to correct and run the process again.

  4. Run the Load Requisitions process for the created Requisition Request ID, including the System Source and Business Unit, to create the requisition.

Note: You can view the list of Bill Only requisitions created from the XML upload on the My Requisitions and Requester Mass Change pages.
